How to get connected to projectors in churches

Advice and tips to connect your laptop to a church's system for presentations.

Here's a step-by-step guide:

  1. Communication with the Church:

    • Contact the person responsible for audiovisual equipment or the technical team at each church where you'll be presenting. It's best to reach out to them well in advance to ensure they can accommodate your needs.
    • Explain that you'll need to connect your presentation equipment to their projector system and ask if they have the necessary setup for this. For Diocesan laptops, you will need to ask that their system can support an HDMI connection
  2. Inquire About the Connections and Cables:

    • Ask about the available video input connections on their projector. The most common ones are HDMI, VGA, and possibly DisplayPort. The majority of our laptops have an HDMI port. This is most common, however, some older systems will still use VGA. We can supply an adapter if needed.
    • Confirm if they have the corresponding cables for the video input connections you'll be using. If not, ask if you can bring your own.
  3. Check for Audio Capability:

    • Inquire if the projector has built-in speakers or if they have a separate audio system in place. This is important if your presentations include audio.
  4. Determine Additional Equipment:

    • Ask if they have a projection screen or if you'll need to project onto a plain surface like a wall.
    • Inquire about the availability of a lectern, microphone, or any other equipment you may require during your presentation.
  5. Prepare Your Equipment:

    • Ensure you have the necessary video adapters or cables to connect your device (e.g., laptop) to their projector system. For example, if your device has HDMI output but the projector only has VGA input, you'll need an HDMI to VGA adapter or cable.
    • Bring your own power adapters, extension cords, and surge protectors in case they are needed.
  6. Familiarise Yourself with the Setup Process:

    • If you have the opportunity, visit the church before your presentation to familiarise yourself with the setup and test your equipment.
    • On the day of your presentation, arrive early to allow ample time for troubleshooting or making any necessary adjustments.
  7. Connecting Your Device:

    • Start by turning off both your device and the projector before making any connections.
    • Connect your device to the projector using the appropriate cable or adapter.
    • Turn on the projector first and let it complete the startup process.
    • Turn on your device and ensure it detects the projector as a secondary display.
    • Adjust the display settings on your device to extend or duplicate the screen onto the projector.
  8. Testing and Adjustments:

    • Play a test presentation or any media file with audio to ensure the visuals and sound are working correctly.
    • Check the projected image for clarity, resolution, and aspect ratio. Make any necessary adjustments through the display settings on your device.
