I can't send an email because the attachment is too big or the download has failed

Email attachment errors

If you see one of these message when attaching a file it is likely that the file is larger than the limit of 25MB:

Warning: Email size limits vary depending on the email provider. You may be able to send an email under 25MB but the receiving email server may reject the message because its limit is smaller.


What to do with email attachments

Tip: Although the limit is 25MB, if your email is going to be above 5MB, consider alternatives to prevent your recipient's and your own mailboxes from getting too big.

  1. Avoid sending multiple emails

    - If it's multiple files, don't just send multiple emails to get around the limit.

  2. Try to reduce the file size

  3. Send a share link instead

    - Instead of sending an attachment, send a shared link instead to the file stored in SharePoint or OneDrive:

      1.  Sharing with your colleague or Team?
        1. Use Copy Link or People with existing access in the link settings
      2. Sharing with another Team who don't have access?
        1. Enter their email address or People you choose in the link settings
      3. Sharing externally? Think about your recipient's technical skills in choosing the following 2 options:
        1. Share with an Anyone link (set password if sensitive) in the link settings.
        2. Alternatively use their email address but note verification is required either through a associated Microsoft account or with a code sent to their email address.

Saving and removing attachments from emails

If you decide that sending an email attachment is your only viable option then you can still reduce your own mailbox size by deleting the attachment from your copy after sending.

  1. Open message
    1. For attachments:
      1. Right-click attachment
        1. Save attachment if you need to store it elsewhere first like SharePoint or OneDrive
        2. Remove Attachment to delete it from your mailbox
    2. For inserted images:
      1. Select Actions > Edit Message
      2. Left-click on the inserted image to select it (you'll see small squares on the corners when selected)
        1. To save, right-click on the selected image > select Save as Picture > choose to save in SharePoint or OneDrive
        2. To keep the image but reduce its size, select Picture Format > Compress Pictures > select options > OK > Apply 

        3. To delete the image, press the Delete button on the keyboard
